Wells Fargo’s Chief Administrative Office (CAO) consists of enterprise functions that work together to promote and protect the Wells Fargo culture and brand, and support our team members. This specific role will report to the Head of Marketing Analytics and be responsible for the day-to-day administrative functions for the Marketing Analytics leader and their leadership team. This role will be responsible for supporting the Marketing Analytics organization in a variety of ways including communications, event coordination, calendaring/scheduling, data entry, monitoring and coordination of administrative deliverables for the Marketing Analytics team, and basic reporting for GL budget monitoring.

KEY RESPONSIBILITIES INCLUDE:

  • Scheduling and managing calendars for meetings/appointments, preparing meeting agendas and packets and conference room reservations for the Head of Marketing Analytics and their direct reports

  • Coordinate and book travel for arrangements nationally with expertise in managing time zone differences, scheduling challenges and local time sensitivities for the Head of Marketing Analytics and their direct reports

  • Coordinate special events and office functions including Community Support, Team Member Network meetings/off-sites and team member engagement activities

  • Monitor and manage expense reporting and approvals/exceptions

  • Monitor vendor invoicing, consolidating and reviewing/submitting to AP; doing follow-ups with AP on unpaid invoices

  • Coordinate with broader Marketing Analytics team to develop administrative functions calendar and provide clarity on deliverable timelines for administrative functions (e.g. monitoring timelines for team training due dates)

  • Development and coordination of onboarding processes for new team members and managed resources including LAN ID setup, equipment ordering, space procurement, systems access, remote access, etc.

  • Develop relationships with other Admins for Marketing to offer local support for traveling Team Members from other teams

  • Monitor and review emails for the Head of Marketing Analytics highlighting any key items that need urgent attention

  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies

  • Acts as a liaison between building management and the department, coordinating space and maintenance activities

  • Maintain department’s computer equipment inventory and manage recycling process through Reverse Logistics

  • Maintain department’s Outlook global distribution lists, the department’s call tree list, and the department’s team member roster

Required Qualifications:

  • 3+ years of administrative support experience

Desired Qualifications:

  • Intermediate Microsoft Office (Word, Excel, Outlook, and PowerPoint) skills

  • Administrative support exposure; preferably within Wells Fargo supporting senior level executives

  • Communication exposure; preferably within Wells Fargo
